Refund & Guarantee Policy — LeadsReps, Inc.

This Refund & Guarantee Policy describes the terms under which LeadsReps, Inc. offers its performance guarantee and processes refund requests. By using our Services, you agree to be bound by this policy.


1. The LeadsReps Performance Guarantee

We guarantee the number of qualified sales calls stated in your service plan every month. If we fall short in any given month, we will continue to work at no additional charge until we fulfil that commitment. You do not pay for a month we did not deliver on.


2. Guaranteed Call Volumes

Each LeadsReps service plan carries the following guaranteed minimum number of qualified sales calls per month:

  • Starter Plan: 10 qualified sales calls per month.

  • Growth Plan: 20 qualified sales calls per month.

  • Scale Plan: 35–40 qualified sales calls per month.

  • Elite Plan: 50+ qualified sales calls per month.

A 'qualified sales call' is defined as a confirmed, scheduled appointment with a prospect who meets the Client's agreed Ideal Customer Profile (ICP) criteria and who has accepted the calendar invitation. Calls cancelled by the prospect with less than 24 hours' notice, or no-show calls by the prospect, will not count against the guarantee quota, and LeadsReps, Inc. will work to rebook those appointments.


3. Guarantee Activation Conditions

The performance guarantee applies when all of the following conditions are met:

  1. The Client has completed onboarding and provided all required information within five (5) business days of the agreed start date.

  2. The Client has approved the ICP, outreach copy, and campaign strategy in writing prior to campaign launch.

  3. The Client maintains an active, accessible calendar booking link at all times.

  4. The Client attends all booked sales calls or reschedules with at least 24 hours' notice. Multiple no-shows by the Client may void the guarantee for that billing period.

  5. The Client responds to LeadsReps, Inc.'s operational requests within three (3) business days.

  6. All payments are current and not in arrears.

If the guarantee is not met in any given month and all conditions above are satisfied, the Client will receive complimentary service in the following month(s) until the guaranteed call volume is fulfilled. This extended service is the sole remedy for under-delivery.


4. General Refund Rule

Except when required by law or as expressly stated in this policy, all Subscription fees and setup fees paid to LeadsReps, Inc. are non-refundable. This policy exists because LeadsReps, Inc. invests significant time, labour, and infrastructure into each client account from the moment of signup — including ICP research, email domain and inbox setup, prospect list building, copywriting, and campaign launch preparation.

Specifically:

  • Monthly retainer fees, once a billing cycle has commenced, are non-refundable for that period, subject to the guarantee remedy described above.

  • One-time setup fees are non-refundable once onboarding work has been initiated.

  • No pro-rata refunds will be issued for cancellations made mid-billing cycle.


5. Exceptions — When Refunds May Be Issued

A full or partial refund may be considered at LeadsReps, Inc.'s sole discretion in the following exceptional circumstances:

Technical Failure

If a verified technical error on LeadsReps, Inc.'s part results in zero outreach activity being sent for seven (7) or more consecutive business days within a paid billing period, and the Client notifies us in writing within that period, a pro-rata refund for the affected days may be issued.

Duplicate Payment

If the Client is charged more than once for the same billing period due to a payment system error, the duplicate charge will be refunded within five to seven (5–7) business days of confirmation.

48-Hour Cancellation Window

Clients who have not yet commenced onboarding (no onboarding call has been held and no campaign work has begun) and who cancel within 48 hours of their initial payment may request a full refund of their retainer fee. Setup fees are excluded from this provision if any preparatory work has been initiated.

All refund requests must be submitted in writing to [email protected] with the subject line: 'Refund Request — [Company Name]'. Requests will be reviewed and responded to within ten (10) business days.


6. Chargebacks & Payment Disputes

The Client agrees to contact LeadsReps, Inc. directly at mailto: [email protected] before initiating any chargeback or payment dispute with their bank, credit card provider, or payment processor. We will make every reasonable effort to resolve any billing dispute amicably within seven (7) business days.

Initiating a chargeback without first contacting LeadsReps, Inc. constitutes a material breach of the service agreement. LeadsReps, Inc. reserves the right to immediately suspend or terminate Services upon notice of an unauthorized chargeback, and to pursue recovery of the disputed amount plus any associated bank fees and legal costs through appropriate legal channels.


7. How to Submit a Guarantee Claim

To activate the performance guarantee remedy, follow these steps:

  1. Email [email protected] with the subject: 'Guarantee Claim — [Company Name] — [Month/Year]'.

  2. LeadsReps, Inc. will review campaign delivery data and confirm whether all guarantee activation conditions were met within five (5) business days.

  3. If the claim is approved, complimentary service will begin in the following billing cycle at no charge.

  4. The complimentary period will continue until the guaranteed call volume is fulfilled, or a maximum of three (3) additional months, whichever comes first.


8. What the Guarantee Does Not Cover

The LeadsReps, Inc. performance guarantee does not cover:

  • Revenue, closed deals, or specific business outcomes from booked calls — sales conversion results depend solely on the Client's own sales capability.

  • Calls that were booked by LeadsReps, Inc. but subsequently cancelled by the Client or where the Client did not show up.

  • Any billing period in which the Client failed to meet the guarantee activation conditions set forth above.

  • Changes in market conditions, industry trends, or the Client's offer that materially reduce campaign effectiveness.

  • Calls booked outside the agreed ICP if the Client changed their target audience mid-campaign without notifying LeadsReps, Inc. in writing.


9. Governing Law

This Refund & Guarantee Policy shall be governed by and construed in accordance with the laws of the State of Texas, United States. Any disputes arising under this policy shall be subject to the exclusive jurisdiction of the state and federal courts located in Austin, Travis County, Texas.
